Pearly's Cleaning Co. ("Pearly's", "we", "us") is a house and commercial cleaning company in Victoria, British Columbia. This policy explains what personal information we collect through pearlys.ca and when you contact or book with us, why we collect it, who we share it with, and the choices you have. We follow British Columbia's Personal Information Protection Act (PIPA) and Canada's Anti-Spam Legislation (CASL).

What we collect

  • When you request a quote: your name, email, phone number, service address, the kind of home or business, size, the service you want, preferred dates, and any notes you add.
  • When you book a cleaning: your name, email, phone number, address, appointment time, and access or pet details you choose to give us.
  • When you download a guide or join our list: your name and email, whether you agreed to receive marketing emails, and your IP address (stored with your sign-up).
  • When you call, text or email us: your contact details and what you tell us.
  • Automatically when you visit the site: pages viewed, links clicked, device and browser type, approximate location (city level), how you arrived (for example, a Google search or an ad), and cookie or similar identifiers. See "Analytics and advertising" below.

Our online quote form doesn't ask for payment card details. Payments are processed through QuickBooks.

How we use it

  • To prepare quotes, schedule and deliver cleanings, and follow up about your service.
  • To answer your questions and keep records of our work.
  • To send service messages (confirmations, reminders, invoices).
  • To send marketing emails or texts, only if you've agreed. You can unsubscribe at any time using the link in any message or by contacting us.
  • To understand how people use our website and improve it.
  • To measure and improve our advertising, as described below.

Analytics and advertising

We use the following tools on pearlys.ca:

  • Google Analytics measures how visitors use the site.
  • Google Ads measures which ads lead to quote requests and bookings. We use Google's enhanced conversions. When you submit one of the forms on this site that aren't embedded from ZenMaid or GoHighLevel, the email address and phone number you enter may be sent to Google in hashed form (converted into a scrambled code). Google uses that code only to match the request to an ad interaction and report results to us. Google does not receive your email or phone number in readable form from this feature.
  • Meta Pixel (Facebook/Instagram) measures the results of our Facebook and Instagram ads. Some of our forms also send Meta, from our server, your email address and first name in hashed form, plus your IP address and browser identifiers (and your phone number, hashed, for commercial quote requests).
  • GoHighLevel is our customer management and booking system. Its script on the site records page visits and form activity so we can follow up on your request.

These tools use cookies and similar technologies. You can:

  • Control ad personalization from Google at adssettings.google.com, and opt out of Google Analytics with the browser add-on at tools.google.com/dlpage/gaoptout.
  • Control ads from Meta in your Facebook or Instagram ad preferences.
  • Block or delete cookies in your browser settings. Parts of the site, like the booking calendar, may not work without them.

Ad click identifiers (Google's gclid, gbraid and wbraid) are stored in your browser for up to 90 days, so a quote you request later can be matched to the ad you clicked. The identifier is also attached to your quote requests, bookings and guide sign-ups, and shared with Google Ads to match booked jobs: Zapier reads the quote details to report booked jobs to Google Ads, which imports them against the matching ad clicks.

When a job is booked, we send Google Ads only the ad click identifier, the booking time, the job's value and currency, and our job number. We don't send your email address or phone number with it.

Who we share it with

We don't sell your personal information. We share it only with service providers who help us run the business, under agreements that limit their use of it:

  • ZenMaid provides our online quote form and job scheduling.
  • Zapier automates sending booked-job results to Google Ads.
  • GoHighLevel handles our customer records, booking calendar, email and text messages.
  • Google provides Analytics, Ads, Business Profile, and the Google Maps embeds on our homepage and area pages.
  • Meta provides Facebook/Instagram advertising measurement.
  • Vercel hosts the website and measures site performance and usage.
  • Resend delivers the emails our website sends, such as the guide you sign up for.
  • Supabase stores guide sign-ups.
  • QuickBooks handles our payments and accounting.

Some of these providers store information outside Canada, including in the United States, where it may be subject to local laws.

We may also disclose information if the law requires it.

How long we keep it

Customer and booking records, and quote requests that don't turn into bookings, are kept for two years, except where we need to keep records longer to meet legal or tax obligations. Analytics data is kept for the retention period set in our Google Analytics account.

How we protect it

Access to customer information is limited to the people who need it to do their jobs. We use reputable providers with security safeguards. No system is perfectly secure, so please contact us right away if you think your information has been misused.

Your choices and rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to marketing at any time. You can also ask us to delete information we no longer need. We'll respond within 30 days. If you're not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca).
